• Purpose: The tool is provided for internal use for technical-administrative purposes related to the institutional activities of the Institute.
• Data Accuracy: The user is solely responsible for the truthfulness and correctness of the information entered into the system.
• Disclaimer: The developer and the National Institute for Astrophysics cannot be held responsible for any damages, direct or indirect, resulting from improper use of the application, the entry of incorrect data, or temporary technical malfunctions of the software.
• Service Provision: The software is provided "as is". While a commitment to ordinary maintenance and code security is guaranteed, total absence of errors or uninterrupted availability of the service in case of local infrastructural issues is not guaranteed.

Privacy Policy – Zenit

This policy describes how the Zenit application handles personal data in accordance with the institutional purposes of INAF – National Institute for Astrophysics.

1. Data Controller

The Data Controller is INAF – National Institute for Astrophysics, with registered office in Rome.

2. Type of Data Processed

The application processes the following categories of data:

• Identification Data: Name, surname, tax code, employee ID (matricola).
• Organizational Data: Affiliation structure, job level/position.
• Training Data: Course titles, dates, durations, evaluation outcomes, and uploaded certificates.
• Technical Data: Access logs (username, IP address, timestamp) for security and auditing purposes.

3. Purpose of Processing

Data is processed exclusively for the following institutional purposes:

• Management and monitoring of personnel training activities.
• Verification of compliance with mandatory training requirements.
• Generation of internal certificates and reports.
• System security and access control.

4. Storage and Security

• Local Storage: All data and documents (PDFs) are stored on INAF internal servers. No data is transferred to external third-party cloud services.
• Access Control: Access is restricted to authorized personnel via institutional credentials (LDAP) and two-factor authentication (2FA).
• Data Retention: Data is kept for the period necessary to fulfill institutional purposes and legal obligations.

5. Rights of the Data Subject

Employees can exercise their rights (access, rectification, erasure, restriction of processing) as provided by current legislation (GDPR) by contacting the INAF Data Protection Officer (DPO).
